This agreement constitutes the sole, complete, and binding agreement between the Contractor(s) and the Agent hereinafter referred to as Julia Charles Event Management Ltd the AGENT and its employees act only as agent, consultant or manager, and assumes no responsibility or liability as between the Agent and the Contractor(s). Covenants herein contained between said Contractor(s), their leader, manager or representative and AGENT are intended to be binding as between said Contractor (s), their leader, manager or representative and AGENT.

Any further engagements or appearances with this venue/ or for the end client within a period of 12 (twelve) months of the final day of the assignment. Your work confirmation will be rebooked through Julia Charles Event Management.

With all of Julia Charles Event Management ‘s standard terms and conditions, as stipulated on the Julia Charles Event Management website.

When attending events please ensure you adhere to the following

  1. No partners or guests are allowed onsite unless agreed by the company in advance
  2. No one under the age of 16 years shall work on our events
  3. No alcohol permitted at our events
  4. Smoking is only permitted within dedicated staff smoking areas.
  5. Do not promote your own services at an event booked by Julia Charles Event Management
  6. Do not promote our events on social media. See more information under the following


On Sites: All parties concerned are advised to hold public liability insurance and any relevant equipment safety documentation.

Note to Staff: please be there on time and have everything listed in the requirements. If you are unsure of where the venue is please make sure you plan a route before with address details above.

Parking / Congestions Charge / Toll Roads / Overnight Stay (if required) / Petrol contribution (if applicable) When you accept a job, it is YOUR responsibility to confirm at the time if any additional charges will be reimbursed or included in your wages. It is in your interest that you make sure that these agreements are confirmed in your confirmations. This will NOT be negotiated after the event.


Social Media Sites: You are not allowed to place/post our events on any social media platforms. You are not allowed to go directly to our end clients on social media or tag them into posts or post to their pages.

If you are found to be doing this you will be asked to remove the post, this may lead to the removal of your services from our company.

Complaints - If JULIA CHARLES EVENT MANAGEMENT Ltd receives a complaint after the event relating to poor performance, negligence or your inability to provide the service to a professional standard, you authorise JULIA CHARLES EVENT MANAGEMENT Ltd to deduct money from your agreed fee, in relation to the losses suffered by Julia Charles Event Management Ltd. You will be notified of any complaints sent to JULIA CHARLES EVENT MANAGEMENT Ltd before your fees are deducted.

Cancellation policy: By agreeing to this you will be liable to a £60 per person cancellation fee if we receive less than 2 weeks’ notice of your unavailability to work; £90 if given 1 weeks’ notice and £190 if given less than 24hours notice.

The Contractor’s engagement under this contract is such that he/she would normally be treated as self -employed for National Insurance & Income Tax Purposes by reason of being engaged under a contract for services.

Force Majeure - no salary shall be paid for days upon which the Contractor is unable to perform for any reason beyond the Hirer's control such as National Mourning, War, Fire, Strikes or Lockouts directly affecting the venue.

Illness- in the event of accident or illness preventing the Contractor from appearing, the Hirer shall be informed at the earliest possible opportunity and, if required by the Hirer, the Contractor must provide a medical certificate forthwith. The Hirer shall not be obliged to pay the Contractor’s fee for any performance(s) in respect of which the Contractor e is unable to perform. The booking Agent shall make his best endeavours to assist the Hirer to find a replacement Contractor if so requested.

Infringements - the Contractor shall not infringe any copyright, patent or other proprietary rights of any party and, in the event of infringement, shall indemnify the Hirer from and again stall damages, liabilities and costs incurred by the Hirer in consequence thereof. If the Contractor’s performance is contrary to the law or is objected to by any Licensing or other Public Authority, the Hirer may cancel the contract in respect of which the objection is made unless the Contractor shall forthwith change his/her performance to remove the illegality or objections.

Health & Safety - the Hirer undertakes to provide a safe working environment. All those providing electrical equipment shall ensure that they hold the relevant safety documentation for the equipment they provide. All signatories to this contract are advised to hold Public Liability Insurance. Equity and Musicians’ Union members “in benefit” are covered by the respective group Public Liability Insurance policies. 

Exclusive Contract - The Contractor warrants that, at the time of signing this contract, he/she is not under contract to any third party that might preclude him/her from fulfilling the engagement(s) and that he/she will not subsequently enter into any such contract.

Accounts Payable:

The agreed fee stated in the event sheet will form part of the engagement. Unless agreed otherwise in writing prior to completion of the paperwork.

How to submit your invoice:

Please email your invoice to once the event is completed.

When will I be paid?: (Example below)

Payments are made on the last working day of every month. If your event is in July we shall make payment for that event on the last working day of August. This will be based on you submitting your invoice 7 working days before the end of August.

Example: Nigel, works on the 15 of July 2017

Nigel’s invoice is due to be submitted no later than the 22nd of August. (7 working days prior to the last working day i.e. payment day)

If Nigel submits his invoice after the 7-day period, his payment will then go on to the next months’ pay run (last working day of September) and continue until an invoice is submitted.

We will pay the invoice and any applicable VAT following receipt of an invoice from you, less any monies properly due to us.

Your payment can be received into your bank at any time on the last working day.

Accounts is not a full-time position.

How do you pay:

We pay by BACS on receipt of an invoice only.

VAT section:

The Fee is exclusive of VAT. We will pay any VAT properly payable on the Fee upon receipt from you of a valid VAT invoice on or before the date on which we would pay the Fee.

Bank Account number and Sort Code – please inform us of any changes to this before submitting an invoice. Failure to do so can result in payments being delayed.

Julia Charles Event Management Ltd will not be held responsible for any costs incurred outside of this agreement.

If you do not attend any Engagement for whatever reason (except only where your failure to attend and perform at an Engagement is our fault) you will not be paid the Fee for that Engagement and will be liable to reimburse us for any pre-paid deposit and/or costs in full within 7 working days.

Any payment made to you by us prior to the Engagement shall be at our discretion and be deemed to be in the form of a loan, repayable immediately on demand, at our sole discretion. You hereby give us permission to reimburse ourselves for any such loan(s) from any Fee we are to pay to you at any time. If you do not perform at any Engagement, you will repay to us such loan(s) within 7 days of the date that the Engagement was due to take place.

If we receive a complaint from the client based on your service or product your payment will be on hold until the complaint is resolved. If a refund is required then the agreed amount will be reduced from your invoice.

Agency - in the event of this contract being made without the intervention of an Agent, the Hirer shall not charge, nor deduct any commission, and in the event of this contract being negotiated through an Agent, the Hirer may only deduct commission for the Agent on the written instruction of the Contractor.

Loss of Property - it is a condition of this contract that the Hirer is not responsible for loss of, nor damage to, the Contractor’s property unless such loss or damage is caused by the Hirer or his/her servant so regents and/or the property isn’t the possession or control of the Hirer at the time of loss or damage.

Children's Entertainers - If a Children's Entertainer is engaged under this contract the Hirer shall ensure that an appropriate number of responsible adults is present always which shall be at least one in addition to the Contractor.

Confidentiality Agreement - It is understood and agreed to that the Discloser and the Recipient would like to exchange certain information that may be considered confidential. To ensure the protection of such information and in consideration of the agreement to exchange said information, the parties agree as follows:

1. The confidential information to be disclosed by Discloser under this Agreement (”Confidential Information”) can be described as and includes:

The business information relating to Discloser’s proprietary ideas, patentable ideas copyrights and/or trade secrets, existing and/or contemplated products and services, how the company database is running/designed, schematics, research and development, production, contractors wages, customers, clients, marketing, and current or future business plans and our bespoke props and costumes used at events, regardless of whether such information is designated as “Confidential Information” at the time of its disclosure. You must re-read your contract with Julia Charles Event Management to see the complete list of what we class as confidential. 

WHEREFORE, the parties acknowledge that they have read and understand this Agreement and voluntarily accept the duties and obligations set forth herein.
