Hosting an event in your own office space brings with it many benefits; it’s a cost-effective option (you don’t have to pay to rent a venue or event space), it can make it easier for your staff to get to, amongst several other benefits.

Why Host A Party Or Event At Your Office?

  • Cost-effective; no need to hire a venue or event space
  • Convenience; easy for staff and guests to get to
  • Easy to Transform into an event space
  • Boosts staff morale

Office parties are especially popular around seasonal events, such as Easter, Halloween and Christmas.

Although they are also popular for companies who have just hit a milestone or to celebrate staff success, where a company may choose to reward employees with an office party.

Choosing a theme is a great way of creating an engaging office party for your employees.

How To Transform Your Office Into An Event Space

As an event management company with over fifteen years in the industry, we regularly transform our client’s office spaces into wonderful event spaces, so we thought we would pass on some of this knowledge and put together a guide for transforming your office space into a special event space!

So, let’s get into it.

Step 1: Assess Your Needs and Requirements, Then Set A Budget

As goes with any event, the very first step is understanding your needs and requirements; what event do you want to create? What do you want the outcome to be?

For example, are you hosting the event to boost team morale? To improve teamwork and create closer working relationships with staff? Are you celebrating success?

Understanding your desired outcome will help with choosing what to have at your party or event. If you’re looking to improve teamwork, think about adding some team-building activities to your party, such as unique games and attractions for your staff to compete against each other.

If you’re just looking to have a good time, think about choosing some fun and unique entertainers to interact with the guests at your event, hire a mobile bar and more.

Step 2: Assess Your Office Space

Once you have understood your needs and requirements and have set a budget for your event, you will need to get an understanding of the space you have to work with.

To make your office party or event interesting and feel different from a normal office working environment, you will want to completely transform your office space into a spectacular event space.

To do this, you will need to see how much space you have to work with; can you move desks, office furniture out of the office / around the office to make space for event decorations, props, furniture and even a dance floor, bar or anything else! Depending on how far you want to take things…

If you book an events company, they can remove the office furniture and reset the space to how it was prior if you are looking for an easy, stress-free option. And of course put the space back to how it was prior to the event.

Stage 3: Transform Your Office Into A Theme

You want to make sure your event doesn’t feel like your normal office working environment. It needs to feel like a break from work so your employees feel refreshed, energised and rewarded for their hard work.

One great way of doing this (and arguably, the most effective) is by choosing a theme.

A theme allows you to incorporate so many elements into your event space that come together to make for a fully immersive experience.

For example, if you are hosting an office Christmas party, you may want to consider a Christmas theme such as the winter wonderland theme to make your party that much more special!

One of the most effective ways of conveying your theme is through your sound and lighting.

These two elements are arguably the most effective ways of conveying the mood and feel or your event. And the lighting is probably the most noticeable visual aspect of your event space. The sound you incorporate helps to convey this further.

The combination of event furniture, props and decorations along with the icy-blue projection lighting created a fully immersive winter wonderland theme for this unique space.

By simply projecting icy-blue lighting on the walls and floors, you completely transform the look and feel of your office, if done properly.

Of course, you can’t just use lighting and sound to transform your office space. You will also need to incorporate props, decorations, furniture, backdrops and more, to create a fully immersive theme, which we’ll go into more detail below. The lighting and sound maximise this.

Depending on your budget, you will want to consider the following to transform your office space:

Transforming your office space takes a fair amount of time – from a few hours, up to a day, of course depending on the size of your office and the scale of the job.

You can’t transform your office whilst your staff are working there, so you will need to consider an alternative space for them to work from…or give your staff a half day, so when they return, it is transformed.

Stage 4: Bar Hire and a Dance Floor

Now, to inject some fun into your party and get everyone socialising, it’s a great idea to consider dance floor and bar.

A party would not be complete without a dance floor or bar, so why should an office party be any different?

We offer some fantastic dance floors that will not only transform your office space, but will become a hub for your staff and guests to let loose and have a good time.

To add another element to your office party, choosing a fun and exciting bar is essential! Again, we boast a wide range of bars available to hire for office spaces and parties.

Your bar will be visited by everyone at the party and will add to the party atmosphere you want to create for your office party!

Stage 5: Enjoy!
