For example, if you are creating an outdoor event on a field, you will need to wire in electricity through generators as well as provide portable toilets.

In this blog, weโ€™ll shed light on the most frequent challenges to outdoor events. Weโ€™ll then go on to present practical solutions to each of them.


What Are The Challenges Of Planning An Outdoor Event?

When planning your outdoor event, you need to address several unique challenges.

  1. Provide reliable and safe access to a power source: Generators can provide a solution here, but always make sure that, in case of unexpected blackouts, you have a backup.
  2. Think about amenities, such as toilets and catering facilities: If the location doesnโ€™t offer these, then hire portable toilets and work with caterers you know you can trust. Make sure they have everything they need, such as access to hot water or specific appliances.
  3. Create adequate shelters for unpredictable weather changes: These considerations not only provide shade and protection from weather elements but also define the event space. Choose from tents, marquees, or canopies, depending on the nature of your event.

Challenge: Choosing The Right Location For Your Outdoor Event

As with any event; the location is the key element of any outdoor event planning.

When looking for a location – choose one that aligns with your event purpose and enhances your event – for example, if it offers breathtaking views or unique features.

This could be a park, a beach, or even a hillside.

You will need to ensure the space accommodates to the number of guests in attendance and it would be a bonus if your outdoor space offers necessary amenities like restrooms, parking, and power supply. If not, these will need to be planned and sourced yourself.

Each venue presents its own peculiar hurdles.

Dealing With Slopes, Un-Even Ground

One thing you will most likely come across when planning an outdoor event is sloping, uneven ground.

When looking at the space you are working with, look at any significant elevation changes, uneven surfaces, or obstacles that you will need to plan around.

If there are any safety risks – for example, huge drops, hill fronts – implement appropriate safety measures such as handrails and barriers to prevent accidents.

You will also need to look at how accessible your space is to accommodate all – as such, consider providing accessible pathways or ramps for individuals with mobility challenges.

When looking at your outdoor event structures, you will need to level the ground as much as possible.

A sloping location will require you to level out the ground – so place it in an area that is as flat as possible, but also in a suitable area for the event space that doesn’t make it too far away from the other areas of your event (so that it doesn’t have a negative impact on event flow, how your guests use the space).

To level the ground, you will need to use wooden or metal platforms and other temporary flooring solutions.

When creating your structures, they need to be securely anchored to keep them stable on an uneven surface.

You can also use the landscape to your advantage – use high points in the landscape to create viewing areas. You can even incorporate unique event designs in landscape features to make for a truly unique event space and create a wow-factor.

Challenge: Selecting The Right Structures For Outdoor Events

Marquees, stretch tents, geodesic domes, and outdoor stages are all excellent structures for outdoor events.

You can decorate them to match your theme. You can fit them with custom lighting for that wow factor.

The choice ultimately depends on the scale, nature, and budget of your event.

Challenge: Protection From The Outdoor Elements – Contingency Plans

With outdoor events, contingency plans are paramount when it comes to the weather.

The weather (especially here in the UK) can be so unpredictable. Forecasts change all the time and this can be a real challenge when planning your event – especially if you are looking months ahead.

As such, you must keep in mind weather considerations for outdoor events.

Your outdoor event space must be adaptable and cater to all weather conditions. All spaces should work whether it’s hot and sunny or wet and windy.

The spaces should also cater to the number of guests in attendance should the worst happen at your outdoor event.

For example, if you have a marquee and outdoor seating area as part of an outdoor event – if it rains – can all of your guests fit inside the marquee? Do they have alternative areas to go for shelter?

Marquees and gazebos offer shelter from rain and sun, while patio heaters or outdoor fireplaces can keep guests warm on chilly nights.

Always have a plan B, such as a nearby indoor location, to mitigate the risk of extreme weather.

Challenge: Amenities, Power

Not all outdoor locations offer amenities or power, so it’s important to source portable, mobile suppliers who can provide this for your outdoor event.

You will need toilet facilities to cater to guests. Ensure these are also managed and regularly cleaned and serviced throughout the day to keep on top of it.

You may also need to provide catering to your guests which, again, we recommend using portable, mobile suppliers to provide. We’ll get into this more below.

You will then need power to be able to provide the services, entertainment and activities you may want to provide. A generator should work fine but do ensure the power it provides is slightly above what is required to power your event.

Always make sure that, in case of unexpected blackouts, you have a backup.

Challenge: Lighting and Sound

Outdoor event production should include an emphasis on high-quality lighting and sound.

Engage professional sound and light engineers to ensure your event provides excellent visibility and acoustics.

These will make a significant difference to your guestsโ€™ overall experience.

It goes further than this also – it’s not only a visual feature, it is also a safety measure.

For example, if you have a car parking area, this should be lit up with floodlights to mitigate any accidents.

Also for walkways and paths that are poorly lit, lighting should be in place so that guests can navigate these safely.


Making Your Event Unique

Develop a concept for your event, incorporating unique elements to make your event stand out for the right reasons.

These could be awe-inspiring installations, immersive technology like VR, or interactive elements like DIY cocktail stations.

Live performances from renowned artists or firework displays will also add a touch of magic.

We did just this in a recent outdoor island event:

In this area we had a retro-style pizza van, a lobster ‘surf and turf’ stand, a champagne bus and a burger van.

Consider offering a variety of high-quality food and drink options – whether that be fine wines, cocktails or lobster.

With catering, it’s crucial to consider this at the planning stage. You need to understand your guests’ dietary preferences and restrictions and plan this into the catering you offer.

In this instance, we created a bespoke website for guests to sign up the event. At this stage, we asked for any dietary requirements from guests so that we could plan effectively, ahead of time.
