The Importance Of Set and Stage Design
When it comes to event production, set and stage design is one of the most important aspects to get right.
Set and stage design plays a significant (and arguably one of the most significant) roles in creating a visually captivating and immersive event.

These are the aspects that create one of the biggest visual impacts and stand out the most in an event space. They are usually one of the first things that guests see when they enter an event space.
A visually stunning (for the right reasons!) and well-executed event stage and set design vastly improve the perceived quality of your event.
Depending on the event type too, a set and stage will actually provide the platform to deliver your event – for example, if you are hosting a conference or gala dinner.

A set and stage is undoubtedly the focal point of your event which a significant portion of guests’ time will be spent looking at!
As such, it is crucial to focus on getting this aspect of your event production right!
You need a set and stage design that captures attention, propels your event and hits your event objectives.
All whilst leaving a lasting impression on guests.
So where do you start?
Initial Concepts: Bringing Your Ideas to Life
As with any event, the initial concepts are imperative for directing your design decisions.

When starting with any set and stage design, like with any event production, you must begin by assessing the event space as it is and understanding its limitations and possibilities.
Look at the overall layout and footprint, existing features and architectural elements that can be incorporated into your overall event production (including your set and stage design).
How do you do this? Read on.
Creating A Stunning Event Set Design
Your set design is the foundation of your stage design – it’s effectively the area in which your stage will be placed.
As such, it needs to convey the overall appearance you want to achieve – for example, if you have an event theme – and of course with the purpose of your event.

A successful set design acts as a backdrop for your stage that enhances the functionality and appearance of your stage.
For example, if you have performances to take place on stage, DJ sets, guest speakers or presentations to make – your set should enhance this.
Get Away From Traditional Backdrops
If you want to create a visually stunning event set design, we need to think outside of the box when it comes to the backdrops!
The best event sets are interactive. So look at incorporating immersive technologies into your set backdrops, such as face AR or 3D projections to really engage your audience and make for a memorable experience.

To take this to the next level and serve your event purpose, you should look at incorporating branding into your backdrops (if applicable).
Get The Set Lighting Right
Lighting is one of the most important tools in creating a successful event set design.
When done correctly, lighting highlights key areas on your set (and stage) and enhances the atmosphere of your event.

Project the lighting onto key props, decorations and areas of your stage to create an impactful set and stage design.
This can be through uplights, spotlights, projections and moving lights to create more layers to your design, making for a more interesting event space.
Use Bespoke Set Props and Decorations
The key to any special event space – and specifically your set and stage design – is to make it unique.
To make your set design as special as possible, look at incorporating and designing bespoke, one-off props in your set design.
You want your set and stage design to be something that no one has ever seen before, making for a memorable experience.
Here’s An Example Using A Recent Design Of Ours:

See The Prop Build Here:
We designed all of this bespoke set in-house including all of the props and decorations used within the event set and the overall event production.

Using this example, to enhance the enchanted garden themed event, we also incorporated this theme and focused on it in our set and stage design for this event.
Above you can see the full creation of this set from start to finish.
All of the props that built up the set were created bespoke to the theme and event as we designed all of the props and decorations (including the DJ set) in-house and went on to produce the real thing.

Creating A Stunning Stage Design
Getting the visuals of your stage design is one thing, but making it practical is another game.
The layout and placement of key elements such as podiums, screens and performance areas are vital to a successful stage design.

The design needs to consider visibility for the people watching the performance on stage – the most effective way of doing this is by elevating the stage.
The stage needs to provide easy access for performers, presenters and anyone else who may need to get on the stage – therefore, the entrance and exit need to be considered and designed in a way that doesn’t hinder your design.
One way of doing this is again by incorporating a raised stage with an easy access point at the rear.
The stage needs to maximise the content and performance you want to display (usually both of these are showcased on a stage), so consider incorporating large LED screens to showcase content effectively.
You need to consider the rigging and how it can be utilised creatively to maximise your stage performances. For example, you could have rigging to allow for aerial displays and performers making for a stunning stage performance.

The purpose of the stage needs to be the centre of your design and should cater exactly to the number of people who will be on it.

Lighting and AV – Adding The Finishing Touches
To create a truly immersive experience, pay attention to the technical production aspects of your stage design.
What the guests will see showcased on your stage.
Lighting design should enhance ambience and emphasise focal points, while audio-visual integration should seamlessly incorporate projection mapping, LED screens, and multimedia effects.

Explore innovative and interactive elements such as 3D projection shows to captivate the audience and add a wow factor to your event.

Other Aspects To Consider
Collaborating with staging, lighting, and AV experts is essential to ensure the successful execution of your stage design and reach your objectives.
Working with experts gives them the responsibility of managing timelines, ensuring safety compliance and overseeing the setup process.
It is a sure way of meeting your stage and set design expectations and make for a truly remarkable spectacle at your event.
Prior to the start of your event, experts should test all aspects of the stage and set production – the audio, lighting and any special effects.
All stage movements should be rehearsed and fine-tuned to ensure a smooth and flawless performance.
As the event is happening, experts should oversee and manage the stage to ensure seamless flow and ensure all of the stage transitions are done correctly.
Should it happen, they will need to adapt to unforeseen circumstances and make on-the-spot adjustments to ensure flawless execution. This should be kept in mind when choosing a company and you can ask them directly about how they deal with last-minute changes.
