Table of Contents:

Entrance and Arrival Experience

You only get one chance to create an impressive first impression on guests.

This is where the exterior of your venue and the entrance to your space is crucial – it sets the tone for the entire event, making it crucial to create a welcoming and memorable first impression.

When designing your overall arrival experience, consider:

The Exterior:

  • Look at how you can transform the exterior of your venue to create an impression.
  • A well-styled venue exterior enhances anticipation and sets the stage for the experience inside.
  • We like to incorporate uplighting, LED installations and projections to highlight the buildingโ€™s features – even better if you choose a venue that has stunning features you can emphasise.
  • We also like to incorporate exterior banners, draping and decorative props.

Illuminated Pathways:

  • Consider how your guests will navigate from the outside of the venue to the inside.
  • Look at incorporating illuminated pathways to guide guests taking the path you want them to take through the use of glowing arches or lanterns to create an inviting ambience.โ€‹

Entertainment:

  • To make the exterior of your event come to life and entice guests to enter, incorporate live performances or interactive elements at the entrance to engage attendees from the start.โ€‹
  • For example, you could use stilt walkers or themed performers to interact with guests as they enter your venue, immersing guests in the theme of your event before they enter the space.

Reception and Check-in

The next touch point of your guests will be the reception area and check-in experience.

This is where you can make a real impact with your venue styling; the reception area is pivotal in shaping guests’ initial perceptions.

When looking at this space, consider:

Draping:

  • Use venue draping to close in large areas, creating a more intimate setting.
  • โ€‹This is a great way to separate the check-in area to the main event space, intriguing guests to enter the space.

Ceilings and Overhead Installations

Ceilings offer a vast canvas for dramatic installations, especially in venues with high ceilings.

They can be the difference in completely transforming an event space, adding a dynamic layer and 360 event space, fully immersing guests into the theme of your event space.

Ceilings offer a vast canvas for dramatic installations, especially in venues with high ceilings. Adding visual elements to overhead spaces not only enhances the theme but also helps to define the atmosphere and bring cohesion to large venues. Some impactful options include:

For our transformation of Reign Nightclub for Halloween, we employed extensive draping, suspended props, and eerie lighting effects to create an immersive and otherworldly atmosphere, ensuring that guests were fully transported into the eventโ€™s theme from the moment they stepped inside.

When looking at the ceilings in your event space, consider:

Chandeliers:

  • Chandeliers add a touch of elegance and focus to the space, whether with classic crystal designs or modern, artistic installations.
  • These work great for luxury gala dinners where you want to create a classy atmosphere.
  • They also transform the ceiling in your event space, creating a fully immersive event space.

Stage and Focal Points

Your stage and set design is typically the focal point of your event – this is a key area to make a huge impact in your design and styling.

Your stage serves as the primary visual and entertainment hub of your event. Whether for guest speakers, shows and performances or awards presentations.

Ensuring the stage is visually captivating is key.

When looking at the design of your stage, consider:

Backdrop and Set Design:

  • The overall set and backdrop should enhance your event theme.
  • It’s imperative for your stage to be visually striking which you can achieve by incorporating impactful elements such as LED screens, branded panels and dynamic draping.

Table Styling and Centrepieces

Your tables will be more or less important depending on the type of event you are organising. For gala dinners, for example, they are paramount to creating the desired atmosphere and overall experience for your event.

For these events, the tables are where guests will spend a significant portion of their time, making them a key area for venue styling.

The right table settings can enhance the theme and elevate the dining experience.

When looking at your table styling and centrepieces, consider:

Linens and Runners:

  • To enhance the overall design of your tables and achieve the desired appearance to make it cohesive with the overall theme you are going with, linens and runners are a must.
  • Choose rich textures and colours that complement the overall aesthetic.

Seating and Lounge Areas

Comfortable seating arrangements encourage relaxation and social interaction – they should balance aesthetics and comfort.

These areas offer stylish yet functional spaces for guests to relax, socialise and take a break from the busyness of your main event space.

Walkways and Transitions Between Spaces

Considering how your guests navigate your event space is crucial to any successful event production.

Look at how you can make the experience seamless for attendees by considering the transitions between event spaces.

This is essential in maintaining the eventโ€™s flow and keeping guests immersed in the experience.

These areas should feel intentional and captivating rather than just functional; thoughtful design can turn simple walkways into moments of intrigue and excitement.

When looking at the flow between the different spaces in your venue, consider:

Draping and Piping:

  • Using draping can help define pathways, creating a sense of anticipation and guiding guests through different sections of your event.
  • Luxurious fabrics such as velvet, chiffon, or LED-infused drapes can add drama and elegance, whilst thematic prints or branded elements reinforce the eventโ€™s message.
  • This is key in defining separate areas of your event space.

  • These structures can be customised to match your event theme, creating a striking transition between different areas.

  • Floor-level lighting, illuminated pathways or projection mapping can subtly indicate direction whilst adding an immersive element.
  • Gobo projections can display brand logos, thematic designs, or even moving visuals to enhance engagement.
  • Soft fairy lights, LED strips, or colour-changing uplights can shift the ambience as guests move between spaces.

Outdoor Spaces

Some event spaces may include outdoor areas – this is an opportunity to maximise your space and enhance the experience.

Outdoor spaces should be integrated seamlessly with the indoor environment to create a cohesive and immersive experience.

When looking at the styling of your outdoor spaces, consider:

Thematic Continuity:

  • Extend indoor design elements outside by using similar colour schemes, decor and furniture styles to create a cohesive event design and feel.
  • Consider incorporating elements such as floral arrangements, draping or branded signage to unify both spaces.

Weather Considerations:

  • Utilise fairy lights, lanterns, uplighting for trees and strategically placed LED fixtures to highlight architectural and landscape features while ensuring pathways, stairs and seating areas are well-lit.
